This ethics policy defines BeSustain's ethical mission and commitments.

BeSustain provides effective and innovative consultancy services in the field of sustainability, helping its clients reduce their environmental footprints and fulfill their responsibilities. In doing so, it aims to raise industry standards and make a positive impact for a sustainable future by adhering strictly to ethical values, combating bribery and corruption, and implementing transparent and secure business practices.

3. PURPOSE

This ethics policy aims to uphold high ethical standards in all activities of BeSustain and apply these standards in all interactions with business partners, customers, and society. We are committed to transparency, honesty, and avoiding anti-competitive practices, with a strong adherence to environmental commitments, decent working conditions, and sustainable and responsible business relationships. Anti-bribery, anti-corruption, and transparent procurement processes are integral parts of this policy.

4. SCOPE

This policy applies to all employees, managers, stakeholders, customers, and business partners of the company. We commit to demonstrating ethical behavior and ensuring ethical decision-making at every stage of our services.

5. RESPONSIBILITIES, TRACEABILITY, AND REVIEW

This policy has been created by BeSustain with input from the company's employees, suppliers, customers, and business partners. Revisions will be made in response to organizational changes and updates to local and international regulations. Full compliance with local laws and international regulations is ensured. Violations may result in administrative penalties or termination of business relationships.

7. IMPLEMENTATION

7.1. Anti-Bribery and Corruption BeSustain firmly commits to zero tolerance for bribery and corruption at any level of business relationships. All interactions with employees, customers, stakeholders, and business partners are conducted in compliance with national and international laws. Offering, accepting, or mediating bribes is strictly prohibited and constitutes a zero-tolerance issue in our ethical framework. Any allegations of bribery or corruption will be investigated swiftly and transparently, and necessary disciplinary actions will be taken.

Practices like giving gifts or entertainment that may impair objective decision-making are strictly prohibited. If such cases arise, the ethics committee will be involved. Gift and hospitality limits (e.g., max €50 for regular staff, max €100 for upper management) are aligned with global anti-bribery standards. These should not affect commercial decisions or independent judgment and must be known by upper management. Key departments (e.g., procurement, sales, accounting) receive additional training.

BeSustain commits to ethical and legal standards in donations and sponsorships, ensuring transparency and public benefit. Interactions with public institutions and officials must be public and within institutional knowledge.

7.2. Conflict of Interest All employees and managers are expected to avoid situations that could create conflicts between personal interests and the interests of the organization. Objectivity and impartiality are essential in all decision-making processes. No employee shall give preferential treatment or benefits to close relations within business dealings. Any conflicts must be reported immediately to the ethics committee and handled with high priority.

7.3. Fraud BeSustain enforces a zero-tolerance policy against fraud. All financial records and transactions must be accurate and complete. Any attempt at fraud must be reported immediately and legal proceedings initiated.

7.4. Untraceable Financial Transactions The company strictly opposes laundering of illegally obtained funds (e.g., from crime, terrorism, illicit trade). BeSustain avoids business relationships with individuals or institutions involved in such activities. All financial transactions are conducted in compliance with local and international laws. Suspicious financial activities must be reported and are treated with high importance.

7.5. Avoidance of Anti-Competitive Practices All business activities are conducted within legal frameworks supporting competition. BeSustain avoids any practices that negatively affect or distort competition, including price fixing or unfair trade practices. Our mission is to support a transparent, fair, and clean way of life by raising awareness on environmental, social, and economic issues.

7.6. Information Security The security of data related to employees, clients, and partners is a top priority. Client data is accessible only to authorized personnel. No sensitive information that could damage the company’s reputation or competitiveness may be shared externally. All employees receive training on information security and confidentiality, and internal systems are continuously updated to prevent breaches.

7.7. Personal Data and Privacy Protecting personal data and ensuring privacy is a key ethical principle. High standards are applied in collecting, processing, and storing personal data. Ensuring legal compliance, safeguarding data, and implementing transparent data management are core responsibilities.

7.8. Protection of Company Assets BeSustain aims to protect all tangible and intangible company assets and prevent misuse. Employees are responsible for protecting physical property, financial resources, intellectual property, and sensitive information. These practices help maintain trust and integrity in the market.

7.9. Social Media Usage The company values responsible communication with media and on social media. Employees representing the company must share information transparently, accurately, and responsibly, while protecting the brand's image and values.

8. OBJECTIVES
  • Minimize the use of printed documents and increase the use of digital files.

  • Use advanced technologies to ensure restricted access.

  • Provide ongoing training on ethics, legal compliance, anti-bribery, conflicts of interest, fraud, data privacy, and company policies.

  • Communicate openly and honestly with internal and external stakeholders.

  • Strengthen internal mechanisms and third-party evaluations in the fight against corruption.

9. REPORTING ETHICAL VIOLATIONS AND RESPONSIBILITY – WHISTLEBLOWING PROCEDURE

We have an e-mail address where employees can express their opinions and complaints at any time, either anonymously or openly. The e-mails sent here reach the company founder. 

The company founder is in charge of the stages after the complaint of behaviors contrary to BeSustain. corporate principles or laws. Investigations are carried out with confidentiality and sensitivity. We pledge that there will be no retaliation or labeling of whistleblowers.
